Independent Contractor, Housing and Room Block Manager

Job Summary
We are looking for independent contractors who specialize in managing event housing, including contract negotiation, room block inventory and reporting. The candidate will work collaboratively with the in-house digital and creative team to ensure an excellent guest experience. Following the launch of the website and registration platform, the candidate will adhere to an active and detailed plan to provide real-time updates and troubleshoot any issues that arise in housing.  

 

Responsibilities

  • Research, compare and negotiate contracts with properties as needed for the project.
  • Coordinate and manage hotel room block logistics from conception to completion, including sub-blocks for staff, client, VIP, vendor, etc.
  • Coordinate and manage individual hotel reservation links for all contracted properties.
  • Manage online reservation systems, such as pulling weekly pickup reports, low inventory notices, attrition rate notices, available comp nights and cutoff date strategy.
  • Manage staff and vendor room needs through rooming lists with hotel properties.
  • Integrate housing data in cross-event strategy, i.e. ADA requirements, transportation needs, arrival and departure metrics, food and beverage count insights.
  • As needed, act as the point of contact for housing needs from the attendee helpline.
  • Manage all housing-related hotel communication.
  • Manage onsite logistics and establish processes for late changes and requests.
  • Coordinate with transportation needs between venues and hotels to include pick-up locations, number of vehicles, and signage within each hotel property.
  • Collaborate with agency departments from ideation through actualization of project.
  • Partner with internal departments to set goals and ensure that event strategies and processes are aligned.
  • Build trusted, “go-to” partnerships with vendors, event staff and internal departments.

 

Qualifications:

  • 5+ years of success in experiential events execution with a focus in housing management.
  • Demonstrates advanced knowledge of hotel contract management and negotiation.
  • Ability to travel onsite for execution of housing management role.
  • Demonstrates advanced knowledge of leading industry trends.
  • Proven track record in developing and delivering winning events and strategies to clients.
  • Expertise in best practice production methodologies.
  • Extensive experience interfacing with clients and vendors.
  • Inventive, dynamic, confident problem solving skills.
  • Be able to think fast on your feet to resolve issues that arise in an ever-changing fast- paced environment.
  • Demonstrates extraordinary interpersonal skills, especially in situations involving leadership, decision-making and team building.
  • Ensure all projects are produced to the highest quality of EA standards and that objectives and deliverables are met.
